Ask an agent where their leads go and you'll usually get a shrug. They call once or twice, don't get a response, and quietly move on. Meanwhile that lead buys a home eight months later, from someone else who simply stayed in touch.
The truth is most deals aren't won on the first call. They're won by the agent who's still there when the person is finally ready. That takes a system, not willpower.
Speed first, always
The single biggest lever is speed. A lead who hears back in five minutes is worlds more likely to engage than one who hears back the next day. Decide right now how a new lead reaches you and how fast you'll respond, then protect that like it's a listing appointment, because it's worth more.
Sort every lead into now, soon, or later
Not every lead deserves the same energy. After the first conversation, put each person into one of three buckets: ready now, moving in a few months, or long-term. Your follow-up cadence flows from there, daily attention for 'now,' a steady monthly touch for 'later.' The mistake is treating a 12-month lead like a dead one.
Make the touches valuable, not needy
"Just checking in" is the weakest message in real estate. Give them a reason to hear from you: a new listing that fits, a quick market update for their neighborhood, an answer to a question they didn't know to ask. When your follow-up is useful, staying in touch feels like service instead of pestering.
Write it down so it runs without you
A system in your head isn't a system. Put your cadence into your CRM (or even a simple spreadsheet) so the next step is always scheduled and nothing slips. When follow-up is automatic, you stop losing deals to your own busy weeks.
